Office Host – Administrative Community Assistant

What does a typical day look like for you as an Office Host – Community Assistant?

As an Office Host – Administrative Community Assistant, you’ll act as a vital link between our head office in Amsterdam and our residential sites. You’ll ensure the office looks professional and is well organised, act as the first point of contact for visitors and colleagues, and assist with a range of administrative and operational tasks. You’ll also support our Community Managers on site to ensure everything runs smoothly there too.

It is a varied role for someone who likes to keep track of things, works independently and thrives on variety.

What are you going to do?

In this role, you will combine three areas: office support, administrative support and support at residential care homes.

Hospitality and office support

You will be the face of our head office in Amsterdam and will ensure a professional and warm welcome.

You:

  • You are the first point of contact for visitors, colleagues and suppliers
  • Welcomes guests in a warm and professional manner
  • Ensures that the office is tidy, well-maintained and well-organised
  • Keeps track of day-to-day office operations
  • Provides support with administrative and organisational tasks

Administrative support

In addition to your role in the office, you will assist your colleagues with administrative and organisational tasks.

You:

  • Provides administrative support to colleagues from head office
  • Processes and manages administrative tasks carefully and in an organised manner
  • Monitors the progress of tasks and ensures that work is completed on time
  • Provides support with planning, communication and general back-office tasks
  • Answer tenants’ questions or forward them to the relevant colleague

On-site support for Community Managers

You will also be supporting our Community Managers at the residential sites. This means that you
will be on site regularly to help with day-to-day operations.

You:

  • Assists Community Managers with administrative and operational tasks, including: carrying out inspections, welcoming new tenants and granting access to suppliers
  • Helps with practical matters that ensure work on site runs smoothly
  • Steps in where needed and helps to ensure a professional and service-oriented experience for tenants and visitors

You are someone who values structure but also copes well with change. You work
meticulously, take the initiative and enjoy supporting your colleagues. You have a
good sense of what needs prioritising and switch easily between different tasks and locations.

What are you bringing?

  • Equivalent to Level 4 of the Dutch senior secondary vocational education (MBO) or higher vocational education (HBO) in terms of working and thinking skills
  • Preferably a degree in hospitality, facility management, hotel management, tourism, administration or a related field
  • Experience in a support role, for example as a receptionist, host/hostess, front-office assistant, administrative assistant or in a similar role
  • Good knowledge of Microsoft Office, including Outlook, Word, Excel, PowerPoint and Teams
